Automation by FUTUROOT
Automate repetitive, rule-based tasks directly from process insights using Robotic Process Automation (RPA). The current release focuses on identifying and rectifying Four-Eyes Violations in the Procure-to-Pay process.
What is a Four-Eyes Violation?
A Four-Eyes Violation occurs when the same user performs multiple critical steps that should ideally be executed by different individuals. For example: when a Purchase Order is both created and approved by the same user, it may violate internal control policies.
Accessing Automation
Click the Automation icon from the main navigation menu to open the List of Activities screen.
Creating an Automation Activity
- Click Create.
- Enter an Activity Name (alphanumeric only).
- Select the Process (currently: Procure-to-Pay P2P).
- Select the Function (currently: Block Payments using Four-Eyes Violation KPI).
- Click Save Activity.
Running Automation
- Click the Play button for the activity.
- The Variant Explorer View opens showing impacted variants. Click Trigger.
- In the Case Details screen, select cases using checkboxes.
- Click Start to submit cases to the automation bot.
Monitoring Progress
| Status | Description |
|---|---|
| In Progress | Automation is currently executing |
| Completed | Automation finished successfully |
| Failed | Automation encountered an issue and requires review |
After completion, a summary email is sent to your registered address containing: cases processed, actions performed in ERP, payment blocks applied, execution timestamps, and processing results.
